RESERVATION:
After initial deposit, final payments are normally due to AFS 65 days
prior departure, however some trips require 90 days. Although rare, a
secondary payment may be required to hold space. After that, you will
receive travel documents and tickets. Last minute bookings may result
in higher ticket costs.
PASSPORT & DOCUMENTS:
Correct passport name must be provided or you will be responsible for
change fees. It is your responsibility to possess a passport valid for
six (6) months after the conclusion of the tour and you must have
2 blank pages in passport. Passengers denied boarding because of
improper documentation will receive no refund nor will refunds be
granted for missed flights or unused services and accommodation after
travel begins. It is your responsibility to obtain proper documentation
for any visas or immunizations if required.
TOUR DOCUMENTS:
Tour
documents are sent about 10 days prior to trip departure. If you’d like
the documents delivered by FedEx (2 day), a $15 fee will be assessed.
WHAT IS INCLUDED:
Sightseeing per itinerary with service of English speaking guides.
Meals and entrance fees as specified. Local taxes. Transportation by
deluxe motorcoach. Transfers. First class hotels, tour escort.
NOT INCLUDED:
Phone calls, items of a personal nature, visas, optional excursions and
sometimes departure taxes. Tips associated with tour guides, drivers,
etc. Any cost resulting from deviation of itinerary.
AIR TRANSPORTATION:
Round trip economy class on major airlines. The air schedule and
airfare are subject to change. Once ticketed, airlines state that
international group ticket is non-refundable after issued in
participant’s name. We are not responsible for lost ticket after travel
begins. Note: Airlines taxes are subject to change prior to
departure! If you arrange own air, airport/hotel transfers not
included.
BAGGAGE:
One suitcase is allowed along with carry on. Airlines have their own
restrictions and imposed limits, especially with carry-on luggage which
should not exceed 17”x14”x18”. Wheeled carry-on cases are not suitable
as hand luggage on coaches. AFS porterage included for ONE large
suitcase between airports and hotels. Exceeding airline baggage weight
restrictions will incur extra costs.
DEVIATIONS:
If you request a deviation from the air routing or tour, you will be
responsible for any price increase. Changes include: destination,
departure or return date and gateway city. AFSI incurs financial
obligations with deposits before each trip and will impose a $25.00 fee
plus any extra charges from airlines or hotels that result from
participant amending the scheduled itinerary.
INSURANCE:
Travel insurance is highly recommended to protect your investment.
Policies cover lost luggage, medical expenses, trip interruptions, etc.
Many individual medical policies do not cover emergencies abroad.
Contact us or TravelSafe for details particularly if you have a
pre-existing condition.
AIR TAXES, FUEL &
SECURITY FEES: These fees have nudged airline fares higher and
we’re warning you so you don’t experience “sticker shock” as we did.
There are now significant increases in air add-on costs, averaging
between $150 to $350+. This includes Civil Aviation Security Service
fees, Federal, Domestic and Foreign fees, U.S. Customs, INS, Aphis fee,
Passenger Facility charges, Flight Segment Taxes, Airport User fees,
International Transportation Tax, U.S. Arrival Tax and the newest
addition of fuel surcharges. Also, new taxes may be imposed
after our airline contract has been signed. These are always subject
to change. Feel free to arrange your own air, however may or may not be
included. (Please note cruise terms and cancellation penalties may be
different depending on the cruiseline.)
ACCOMMODATIONS:
First
class hotels are twin bedded with private bath. Hotel subject to
change. If necessary substituted hotel will be equivalent to those
listed. Note hotels outside U.S. may be more expensive, yet less
equipped than those we are used to here. Standards vary per country.
Room size and décor may vary within same property at same cost paid.
Guaranteed non-smoking rooms may not exist in certain countries.
LAND PRICES
are not always
guaranteed. Foreign currencies in exchange to U.S. dollar fluctuate
daily and could affect a price increase. We have absorbed these sudden
increases in the past and will continue to do so when nominal. If
necessary although unlikely, applicable charges will be advised
prior to your final payment date.

CANCELLATIONS:
All deposits are fully refundable until we send you a detailed
itinerary and you return our booking form. If you must cancel,
the effective date of cancellation will be upon receipt of
WRITTEN notification. After that, your deposit is completely
refundable less a $50 administration fee. Fees may vary with
each trip offered. Once ticketed you are subject to
airline/cruiseline cancellation penalties. If you feel you may
cancel please phone us about travel insurance.

Should the
fees AFSI incurs by airline, cruiseline or land supplier may be
added to the above cancellation fees. |

A portion of these charges may not be applied if participant
provides substitute to go in participant’s place before airline
ticket is issued.] In case of cancellation where the party is
occupying a shared room, the cost of a single supplement for the
roommate will be added to the cancellation penalties. Note:
Cruise penalties are applicable to each cruise line and may
differ from AFS. |
RESPONSIBILITIES:
AFSI operates solely as an independent contractor. The services of
transportation, accommodations, sightseeing, etc. are provided by
suppliers. We issue tickets and travel documents as an agent for the
companies that provide these services and they are subject to term and
conditions of the respective suppliers. AFSI will make every effort to
operate tours as disclosed. However, circumstances beyond our control
may arise requiring an adjustment to the tour. We will do all possible
to avoid any changes and to offer substitutions, but we reserve the
right to make such modifications if deemed necessary. If the services
set forth cannot be supplied, we will supply comparable services and
accommodation. Any refund as a result of cancellation or alteration or
tours caused by events beyond our control will be limited to the amount
paid back to AFS. Additional expenses, if any, shall be on the
participant. Conversely, a refund will be made if savings are
affected. AFSI is not responsible for loss or damage to property,
baggage, accident, illness, injury or death to persons resulting from
any act of suppliers, or AFSI, or caused by strike, war, weather,
delays, and government regulations. And cause beyond reasonable
control. Services are subject to laws of the country where service is
rendered.
SPECIAL ASSISTANCE:
Participant must be in good health. AFSI reserves the right to refuse
service to any participant that we feel may be deemed disruptive to the
group or any person who physically cannot meet the challenge of moderate
to extreme activity as stated on certain trips. Any disability to hinder
group movement must be reported to us at time of booking. We try to
accommodate all, but in the event we are unable to do us, we are not
responsible for denial of service by the airlines, hotels or local
suppliers. In cases where participants need special assistance, a
personal companion must accompany the traveler. Foreign facilities may
not be equipped to accommodate the physically challenged traveler as in
the USA.

FINAL
NOTES: |

· We
encourage a seat rotation system and no smoking policy onboard
the motorcoaches. |

· Tour
costs based on a minimum number or participants and if not met,
a new costing may be required. |
|
· AFSI
reserves the right to cancel or re-schedule any tour in
accordance with operating requirements. |
|

Participant must be in good health. If disabled, we request a
companion to accompany you. |
|
· Tour
escort accompanies trips only in the capacity to assist the
local professional guides and to ensure things go smoothly.
|
|
·
Participant is responsible for being on time for flights and
tours and will not be reimbursed if that portion is missed
due to absence. International flights require airport check in
two (2) hours prior to departure. |
|
· Group
seat assignments are confirmed ten (10) days before departure.
We will strive to honor your seat request, however, it may be
changed by the carrier due to schedule or equipment charges. |

· Payment
of the tour is regarded as agreement to the above conditions.

WARNING: Travel can be addictive! You must however come
prepared to cope with unusual situations, local inadequacies and
unpredictable events should they occur. |
